Present: Paul Carew, Robert Wright, Rob Sullivan, Reid Conrad, Linda Rimer, Martha Dill, Terry Eason, Ted Vaden, Matt Poe of Hartman Cox.
The Next Step Committee reviewed the master plan design and planned for the February 26 annual meeting.
Matt presented a three-dimensional representation of Plan F, the draft design selected by the committee at its last meeting.
Regarding the annual meeting, the format will be that Ted will spend about 10 minutes discussing the planning process, how we got to this point and the vision that the plan represents. Terry Eason and Lee Becker of Hartman Cox will spend about 10 minutes describing the plan in general terms. Then the meeting will be turned over to Q&A.
Hartman Cox will prepare poster boards for the 7 existing posters, plus posters for each floor plan and front and back elevations. Rob will purchase new easels to be used for display. The posters will be put on display in the Parish Hall on Sunday before the annual meeting and will remain in place through the May Vestry meeting.
Ted will prepare Q&A handouts to be distributed at the annual meeting, and Matt will provide an illustration showing the elevations. Q&A assignments were made as follows:
- How much will the project cost and how will we pay for it? Robert
- Why should the parish put its resources into facilities when there are so many human needs that we should be serving? Paul
- Why would we do new construction instead of renovating the existing facilities? Rob
- How will the project affect trees and parking? Martha
- How will the project affect our stewardship of the environment? Linda
- Why do we need a new building? Ted
After the parish meeting, Ted, Linda and Martha will be in the parish hall to discuss the posters with parishioners. Robert and Terry will do the same after the 11:15, and Linda will do after the 5:15.
Ted and Robert will set up the posters before the annual meeting, during the 9 a.m. service.
Committee members were urged to contact parishioners to encourage participation.
The committee scheduled a follow-up meeting for Sunday, March 5, 1-3 p.m. to gather parish input. In addition, we will set up meetings with parents of Sunday School children, Campus Ministry, Men’s Breakfast, and Carol Woods/Carolina Meadows. Paul graciously agreed to host a gathering in Fearrington, contingent upon spousal approval.
The committee set a meeting schedule for future committee meetings as follows: March 6 and 27, April 10 and 24, and May 8, leading up to the May 12-13 Vestry retreat. Meetings will continue to be at 6 p.m. All committee members were encouraged to plan to attend the retreat.
Hartman Cox will do minimal redesign work until the parish input process is complete. We’ll use the April 24 meeting to “download” that input for the committee and the architects.
Ted reported to the committee a letter from Molly McConnell asking the Vestry and committee to slow the planning process. Ted has referred that letter to the Vestry, which has the decision-making authority. Ted also read to the committee parts of the annual address of the Rector relating to the work of the Next Step Committee.
